Weatherization Program Assistant:

Overview:

As the Weatherization Administrative Assistant, you will provide detail driven support to the weatherization program. Your goal will be supporting the program in finding eligible clients and keeping detailed records/reports while providing grant compliance oversight. Your success will lead to grateful clients who are able to remain safely in their homes.

Requirements:

To be seriously considered for this role, please have the following:

  • Experience: At least 1-year of grant management or operating under grant guidelines.  Prior experience managing client files.   
  • Skills: Must confidently operate Microsoft Office products. Incredible attention to detail is a must.  Strong organization skills are required.
  • Characteristics: Quick learner with effective time-management abilities.  Enjoys data comparison and adhering to guidelines.

Responsibilities:

As the Weatherization Administrative Assistant, you will provide critical support to the weatherization program. Your role in fulfilling our mission will include:

  • Gaining an in-depth understanding of the grants that govern the weatherization program
  • Receiving education about the home weatherization process
  • Use of state managed database to determine eligible clients
  • Explaining the function of the weatherization program to potential clients
  • Request supplemental information or materials from clients and/or utility companies
  • Scheduling initial visits between clients and weatherization managers
  • Compiling individual client/project files
    • to include confidential client information, project purchases, materials used, time spent, test results and any other associated costs/materials/information
  • Reviewing client files for accuracy and completeness
  • Assisting with materials inventory and management
  • Attending conferences and training opportunities
  • Fielding questions from clients currently in the weatherization process, including those facing an emergency  
  • Procurement of sub-contractors
  • Receive invoices from current sub-contractors and associate with correct project
  • Providing monthly reports in compliance with grant guidelines
  • Ensure open communication between the weatherization program, Executive Director, and Finance Director.
